Shared Services Coordinator

We are growing and looking to add a Shared Services Coordinator to our team in the Madison, WI office.

Under general supervision, Shared Services Coordinators provide excellent service to the organization’s customers by ensuring new client implementation and onboarding work is completed within project deadlines while also ensuring day-to-day work within the department is completed using problem solving to reach the best possible outcome keeping both customer satisfaction and the organization in mind.

Job Duties

Responds in an expedient manner to inquiries via email, phone or mail while establishing and maintaining a positive working relationship with customers by ensuring the best possible customer satisfaction.  Able to work with all material, all audiences, and can bridge the tech / non-technical gap when applicable.

Distributes team workflow accordingly and drives departmental expectations. 

Serves as the point of escalation for Team Members and can resolve issues and raise to management awareness as necessary.

Communicates and coordinates areas of both compliance and non-compliance actionable items with customer contacts.  Performs quality control as needed.

Accurately enters and processes data, assists others in ensuring quality assurance to include:

  • Coordinate workflow
  • Ensure clients are fully onboarded and implemented
  • Work with customers to establish and maintain relationship
  • Gather web access level information and documents from the customer
  • Provide accurate and timely information regarding our service, products and processes
  • Recognize intricate details of the account/services and any concerns or opportunities
  • Audit data and ensure quality control

Works with Team Lead to develop, maintain, and implement department training.

Knowledge and Skills

Excellent customer service, communication (verbal and written), and collaboration skills, along with being friendly, personable and results oriented.   Ability to exercise discretion and independent judgement with respect to matters of significance.  Must be able to multi-task and be comfortable working with all types of customers.  Proficient with Microsoft Office Suite including Outlook 365, Word, and Excel.  Ability to learn, understand and utilize the company and department systems. 

Must be able to sit at a desk for extended periods of time.

Training will be provided.
